Fleet Manager

Job Responsibilities:


This individual will have responsibility, oversee and coordinate fleet operations for the proper and efficient acquisition and disposal of company vehicle fleet and parts, determination and communication of the optimal utilization and management of company fleet and parts, and the budgeting and associated reporting for fleet management.  It is expected that this position will provide strategic efficiencies and timely data for the proper utilization and safe operations of all Company vehicles.  The Fleet Manager ensures that all RailWorks vehicles are driven by competent and licensed personnel.  This position ensures compliance with the United States and Canadian Department of Transportation regarding registration, licensed vehicles and commercial drivers’ licenses, periodically checking on motor vehicle violations no matter how minimal, maintaining the commercial fleet for RailWorks Corporation and all its subsidiaries and affiliates striving for Best In Class.


Primary/Essential Responsibilities and Duties

 Responsible for the acquisition and disposal of company vehicle fleet and parts

    • Recommending fleet and equipment acquisitions or disposals based on utilization
    • Ensuring efficient and cost effective purchasing of repair parts and outside services
    • Researching strategies and options for fleet acquisitions
    • Recommending and executing transfer or disposal of underutilized fleet
  • Oversees and Manages:
  • Drivers’ licenses for employees assigned vehicles or operate company vehicles and/or equipment
  • Company Motor Vehicle Records
  • Records of expiration dates for all drivers including commercial drivers’ licenses
  • Records of vehicle and equipment maintenance and repair, assigns fuel credit cards, and records mileage on all company vehicles
  • Schedules instruction classes for the safe operation and maintenance of equipment
  • Ensures that fleet operating procedures are current, efficient, and in compliance with Federal and state laws and regulations including OSHA, DOT, and HAZMAT
  • Audits regulatory compliance related to hours of service, driver qualifications, record keeping, alcohol and controlled substance program requirements, hazmat records, and vehicle maintenance inspection documents
  • Manage current and potential rental and leasing companies
  • Determines priorities regarding allocation of fleet resources
  • Implements strategies for enhancing the safety and efficiency of fleet operation
  • Assists in developing equipment capital investment plans and priorities
  • Prepares fleet capital and operating expenditure progress reports
  • Manages leased equipment and company owned equipment
  • Coordinates activities to control expense and work within budgets
  • Monitors repair and fuel costs and evaluates performance efficiencies of equipment
  • Manages fleet annual budgeting and reporting
  • Serves as the subject matter expert regarding safety and/or mechanical/technical issues
  • Trains drivers and staff in the compliance process and safety awareness
  • Plans and oversees the in-fleeting of new vehicles and sale of existing fleet vehicles
  • Plans and oversees the fleet maintenance processes, including evaluating body damage estimates, reviewing, monitoring and authorizing invoices, managing cost controls and monitoring/evaluating vendor service
  • Reviews fleet maintenance reports to ensure maintenance programs are being followed
  • Monitors and maintains compliance with preventative maintenance programs.

General/Other Responsibilities and Duties

  • Schedules annual DOT inspections
  • Reviews and approves truck maintenance facilities
  • Conducts periodic, unannounced, internal audit procedures on DOT compliance program data.
Job Qualifications:
  • Bachelors Degree preferred but not required
  • Construction Industry experience a plus but not mandatory
  • 5 to 7 years experience in fleet management with at least two (2) year’s experience as a manager
  • Familiarity with required US DOT-FMSCA compliance.
  • Familiarity with equipment, tools, materials, and supplies used in motor vehicle fleet acquisition, utilization, maintenance, and repair
  • A valid Commercial Driver’s License, a satisfactory Motor Vehicle Driving Record, and demonstrated ability to operate equipment in a professional & safe manner
  • Ability to interpret and communicate documents such as safety rules, operating and maintenance instructions, and procedure manuals
  • Strong analytical skills with the ability to write reports
  • Strong computer skills are mandatory, significant experience and abilities with Excel are necessary
  • Experience with and ability to utilize PowerPoint a plus
  • Strong interpersonal skills are necessary; ability to interact with all levels of the company including senior management
  • Possesses the character and unquestionable integrity to represent the Company and provide credibility for all work, reports and analysis that is provided through the finance department
  • Must have the ability to grasp facts, processes, procedures in a changing environment very quickly; a quick learner
  • Works in a proactive manner, a self starter who approaches his/her work with a sense of urgency
  • Ability to meet deadlines under pressure in short time frames
  • Ability to multi-task and thrives in an environment where numerous tasks and projects are occurring simultaneously
Physical/Travel/Attendance Requirements


  • Generally works indoors, with some onsite/outdoor work
  • Frequently sits, stands, walks, reads, writes and uses a computer keyboard
  • May be required to balance, stoop, or crouch
  • May be required to lift or handle material or equipment up to 20 pounds
  • May be exposed to harsh weather conditions including very hot and very cold weather.
  • May be exposed to fumes and/or loud noise.
