Job Responsibilities:

Position Summary

Provides a wide range of high-level administrative support and assistance.

Primary/Essential Responsibilities and Duties

• Prepares and edits correspondence, communications, presentations and other documents
• Conducts research, assembles and analyzes data to prepare reports and documents
• Manages and maintains travel schedules and appointments
• Arranges and coordinates conference calls, meetings and events
• Records, transcribes and distributes minutes of meetings
• Monitors incoming communications; prepares responses to correspondence containing routine inquiries
• Reviews and analyzes incoming memos, submissions, and reports to determine their significance and distributes accordingly
• Answers and manages a high volume of incoming calls
• Opens, sorts, and distributes incoming correspondence, email, scans and faxes
• Handles internal and external requests for information
• Receives, greets and interacts with incoming visitors; determines whether or not visitors should be given access to specific individuals
• Interacts with external clients and vendors
• Will assist with tracking of equipment, arranging for new equipment
• Update weekly/monthly manpower reports
• Must have Accounts Payable and Accounts Receivable experience.

General/Other Responsibilities and Duties

• Files and retrieves documents, records, reports and reference materials
• Performs clerical duties such as photocopying, scanning and faxing
• Reviews operating practices and suggests improvements
• Performs special projects as requested

Job Qualifications:
• High school diploma; College degree (Associate’s or Bachelor’s) preferred
• A minimum of 5 years experience providing administrative support at the executive level
• Experience with standard office administrative practices and procedures and clerical duties
• Ability to exercise judgment, make decisions, and work independently
• Ability to safeguard highly confidential information and to perform with a high level of discretion, professionalism, and integrity
• Strong interpersonal, written and verbal communication, and telephone/customer service skills
• Ability to handle and prioritize multiple tasks simultaneously in a fast paced, high pressure environment
• Ability to handle complicated calendars and travel itineraries
• Strong planning and organizational skills and the ability to meet deadlines
• Advanced proficiency in Microsoft Office suite
Physical/Travel/Attendance Requirements

• Works in an office environment
• Frequently sits for long periods of time
• Frequently speaks, reads, writes and uses a computer keyboard
• May require occasional standing, walking, lifting, stooping, or bending
